Our Commitment

Ultimate Tax Preparation, LLC respects the confidentiality of client information. This notice explains how we may collect, use, share, retain, and protect information received through our website, client portal, payment page, communications, and tax-related services.

This notice is a general public statement. It does not replace an engagement letter, a consent required by law, a tax disclosure authorization, or another notice that may apply to a particular service.

Information We May Collect

  • Contact information: name, mailing address, email address, telephone number, and preferred contact method.
  • Identity and tax information: identification documents, Social Security or taxpayer identification information, income records, deductions, dependents, prior returns, and other records needed for requested services.
  • Business and financial information: payroll records, bookkeeping summaries, profit-and-loss information, business ownership records, and documents requested for business or homebuyer support.
  • Service and communication information: messages, appointment details, portal activity, service requests, and records of our work for you.
  • Payment information: transaction and payment-status information associated with payments processed through Stripe. Payment-card information is handled through Stripe under its own terms and privacy practices.
  • Website information: device, browser, cookie, and usage information that WordPress.com or other website service providers may collect when you use the site.

How We Use Information

  • To evaluate, prepare, amend, and electronically file tax returns when authorized.
  • To provide payroll, IRS-notice, business, and homebuyer document-support services.
  • To verify identity, communicate with you, manage appointments, and provide client support.
  • To process and document payments.
  • To prevent fraud, protect client information, maintain business records, and meet legal or regulatory obligations.
  • To operate and improve our website and services.

Tax Return Information and IRC Section 7216

Tax return information is subject to special federal restrictions. We use and disclose tax return information for return preparation, electronic filing, related services, and other purposes permitted by law. When a separate taxpayer consent is required for a use or disclosure, that consent will be presented separately. This privacy notice is not a substitute for a consent required under Internal Revenue Code Section 7216 or its regulations.

We do not sell client tax return information.

When Information May Be Shared

Information may be shared only as reasonably necessary for an authorized service or as permitted or required by law, including with:

  • Federal, state, and local taxing authorities when preparing or filing returns or responding to an authorized tax matter.
  • Service providers that support our website, secure portal, electronic filing, communications, document processing, or payments, including WordPress.com, MyTaxPortal, and Stripe.
  • Professional advisers, insurers, regulators, courts, law enforcement, or other parties when disclosure is legally required or reasonably necessary to protect clients, our business, or others.

Security Practices

We use administrative, technical, and physical safeguards designed to protect client information, appropriate to the information and services involved. Access should be limited to people and service providers with a legitimate business need. No website, email system, portal, or storage system can be guaranteed completely secure.

Protect Your Information

Use the secure client portal for tax records, identification documents, Social Security numbers, and other sensitive information. Do not send sensitive tax documents or payment-card information through ordinary email. Contact us immediately if you suspect unauthorized access or receive a suspicious message claiming to be from Ultimate Tax Preparation.

Payments and Third-Party Services

Our payment link is provided through Stripe. The secure client portal is provided through MyTaxPortal, and our website is hosted through WordPress.com. These services have their own privacy, security, and cookie practices. A link to an IRS, ID.me, or other external website does not mean that Ultimate Tax Preparation controls that website or receives the information you submit there.

Information Retention

Retention periods vary by record type and service. We retain information only as reasonably necessary to provide services, maintain required tax and business records, resolve disputes, enforce agreements, protect against fraud, and satisfy legal, regulatory, insurance, and professional obligations. When information is no longer required, it may be securely deleted or destroyed in accordance with applicable requirements and business procedures.

Cookies, Analytics, and External Links

WordPress.com and other service providers may use cookies or similar technologies to operate the site, remember preferences, measure performance, and help protect the service. Your browser may allow you to block or delete cookies, although some site features may not function properly. External websites are governed by their own terms and privacy notices.

Your Choices and Questions

You may contact us to ask about the personal information we maintain, request a reasonable correction, update your contact preferences, or raise a privacy or security concern. Certain requests may be limited by identity-verification needs and legal recordkeeping requirements. Additional rights may apply depending on your state.

Professional Status and IRS-Related Services

Ultimate Tax Preparation, LLC provides tax return preparation and electronic filing services through an Electronic Return Originator (ERO) and PTIN tax return preparer. Unless separately stated in writing, we do not hold ourselves out as a CPA firm, law firm, or enrolled agent practice.

ERO approval and PTIN registration do not by themselves create unlimited rights to represent taxpayers before the IRS. The scope of any IRS assistance depends on the matter, applicable authorization, and federal rules. Assistance may include explaining notices, organizing records, preparing documents, and other services legally permitted for the engagement. We do not guarantee a refund, loan approval, IRS result, or other outcome.

Treasury Department Circular 230 governs practice before the IRS and establishes conduct standards for professionals within its scope. Any reference to Circular 230 on this website is informational and does not claim a credential or representation authority that the preparer does not hold.
