Federal payroll reporting

After-the-Fact Payroll (ATFP)

Federal payroll reporting for businesses that calculate wages, pay workers, and make payroll tax deposits outside our service. We use your finalized records to prepare the federal forms included in your engagement.

Starting at $60/month for 1–3 W-2 employees

12-month initial service term. Pricing is per business entity and EIN and is controlled by employee count.

Standard ATFP is designed for businesses with up to 20 W-2 employees per EIN. Businesses with 21+ employees require a separate scope review and written quote and may not qualify for standard service.

Employee-count pricing

Select Your Enrollment Range

Employee Count means every W-2 employee for whom you paid or reported wages during the applicable calendar quarter, including employees who terminated during that quarter.

How employee-count changes affect pricing

Employee Count is reviewed after each calendar quarter. If the count moves into a higher range, the new installment begins with the first monthly installment of the following quarter—without a retroactive adjustment. A lower price is considered at annual renewal, not during the active term. Material growth in headcount, payroll volume, or complexity may require an earlier scope review.

Annualized amounts show 12 installments at the stated monthly price. Actual payments may be higher if Employee Count moves into a higher range during the service term. Review the complete ATFP Terms before enrolling.

Simple, secure process

How ATFP Works

Enroll and complete onboarding

We confirm the employee range, effective date, covered entity and EIN, and applicable federal forms.

Pay workers and make deposits

You handle payroll calculations, worker payments, and every federal, state, and local tax deposit.

Upload finalized totals

Send quarterly records by the 10th day after quarter-end and annual records by January 10.

Review and authorize

Review the prepared returns and sign any required federal e-file authorization promptly.

We federal e-file

We submit the covered federal returns and retrieve the e-file acknowledgement.

Records and Internal Deadlines

Quarterly records

Due by the 10th calendar day after quarter-end

Provide finalized wage, withholding, employer-tax, deposit, employee, and payee information for the covered quarter.

Annual records

Due by January 10

Provide finalized Form 940, W-2/W-3, and Forms 1099-NEC/MISC information, including fringe benefits and year-end totals.

No payroll activity this quarter?

Send written zero-activity confirmation through the Client Portal by the deadline. Uploading nothing is not a zero report, and a federal return may still be required.

ATFP Document Checklist

  • Legal business name, EIN, address, and contact information
  • Employee names, addresses, taxpayer identification numbers, Forms W-4, hire/termination dates, wages, and withholdings
  • Finalized employer-tax, benefit, and federal deposit records
  • Prior federal payroll filings relevant to the covered period
  • For each 1099 payee: completed Form W-9, legal name, address, and taxpayer identification number
  • Total reportable payments, payment type/category, and federal backup withholding, if applicable
  • Authorized signer information and agency correspondence affecting a covered filing
  • Any other records reasonably needed to determine the proper federal return

Protect sensitive information: Upload payroll records, SSNs, EIN records, Forms W-4 and W-9, banking information, and identity documents only through the secure Client Portal—not by email.

Annual Forms and Midyear Enrollment

Enrolling during a quarter does not automatically include that partial quarter. We review existing filing status, prior Forms 941, year-to-date records, and missing periods before confirming coverage.

Annual Form 940, W-2/W-3, and Forms 1099-NEC/MISC are included only for covered periods and timely records. Earlier uncovered periods, cleanup, reconciliation, corrections, and catch-up work may require a separate quote.

ATFP FAQs

What is After-the-Fact Payroll?

It is federal payroll return preparation and filing after wages, worker payments, and tax deposits have been calculated or handled elsewhere. It is not live payroll.

How is my price determined?

Your price is controlled by every W-2 employee paid or reported during the applicable quarter. The initial range is set at enrollment and is reviewed after each quarter.

What happens if my employee count changes?

A move into a higher range applies prospectively with the first monthly installment of the following quarter. A lower range is considered at annual renewal. Material growth may require a separate scope review.

How many Forms 1099 are included?

Up to five combined Forms 1099-NEC and/or 1099-MISC are included per tax year. Each additional form is $10.

Does subscribing cover an earlier or partially completed quarter?

Not automatically. Coverage starts on the effective date confirmed during onboarding. Earlier periods and catch-up work are reviewed and quoted separately.

What happens if I submit no records?

No return is prepared or filed. Missing records are not treated as zero activity, and monthly installments continue during the initial term.

Do you make payroll tax deposits or state filings?

No. You remain responsible for worker payments and every federal, state, and local deposit. State filings are outside standard ATFP.

Are corrections or prior-period filings included?

No. Prior-period, delinquent, corrected, amended, cleanup, and notice-response work requires separate review and may require a written quote.
